Terms of Bespoke Jewellery Commission
Introduction
Thank you for choosing LILI KOOS.
Every piece we create is individually designed and handcrafted exclusively for its future owner. Unlike mass-produced jewellery, each commission is the result of a collaborative design process, careful gemstone sourcing and traditional goldsmith craftsmanship.
This information sheet outlines our design process, production timeline and the terms that apply to every bespoke commission.

1. Design Consultation
Each bespoke commission begins with a private consultation, either in our atelier or online. We discuss the design inspiration, lifestyle, precious metal, gemstone selection, size, budget and production schedule. Inspiration images are used only as references.
2. Design Development
Depending on the nature of the commission, the design development process may include sketches, CAD renderings, gemstone layouts, and/or 3D-printed prototypes.
3D Jewellery Designs
Each bespoke jewellery commission includes a 3D CAD design based on the details and requirements agreed upon with the client.
The design fee includes up to two rounds of modifications, provided that the requested changes remain within the scope and concept of the original design.
If the client requests a substantially different or entirely new design, additional design fees may apply.
Once the design has received final approval, any further changes may result in additional design and production costs.
5. Quotation
Quotations are valid for 10 calendar days. Prices may change due to fluctuations in gold and diamond markets until the deposit is received.
6. Deposit
- Production will commence once a 50% deposit has been received. This deposit covers design services, gemstone sourcing, material procurement, and the scheduling of production.
Alternatively, clients may choose a staged payment option:
20% initial payment upon commencement of the commission;
30% second payment once the design has been prepared and approved;
50% final payment upon completion and prior to delivery or collection of the finished jewellery.
7. Recycling Gold
LILI KOOS offers the possibility of creating bespoke jewellery using the client's existing gold.
Before production, all supplied jewellery or precious metal is professionally assessed, weighed and evaluated. Whenever technically possible, the client's own gold will be incorporated into the new piece.
The client acknowledges and accepts that recycled gold may contain unknown alloy compositions resulting from previous manufacturing processes. These variations may influence the behaviour of the metal during production.
Although every effort is made to preserve the supplied material, the following may occur during the manufacturing process:
- a small amount of material may be lost during refining, melting and finishing;
- the final colour of the recycled gold may vary slightly depending on the original alloy composition;
- in certain cases, technical limitations may require the addition of new gold to achieve the necessary alloy quality, durability or colour consistency;
- if the supplied material is unsuitable for reuse due to impurities, porosity, contamination or structural instability, LILI KOOS reserves the right to recommend using newly refined gold instead. In such cases, the value of the client's gold will be credited toward the new jewellery.
The client understands that the characteristics of recycled precious metal cannot always be predicted with complete certainty. While every piece is manufactured to the highest professional standards, LILI KOOS cannot guarantee that recycled gold will behave identically to newly refined precious metal during the manufacturing process.
8. Handmade Production
Every LILI KOOS piece is handcrafted. Minor variations in finish and microscopic details are part of authentic craftsmanship and are not defects.
9. Production Timeline
Production typically requires 4–8 weeks. Delays caused by gemstone suppliers, shipping, assay offices or force majeure are beyond our control. If any delay occurs our clients will be informed in email.
10. Ring Size
The client is responsible for providing and confirming the correct ring size prior to production.
Where a ring design allows for resizing, the price of the jewellery includes one complimentary size adjustment, of up to two sizes up or down from the original confirmed size.
Any additional resizing, or resizing beyond the two-size limit, may incur an additional charge. The feasibility and cost of any further resizing will depend on the design and materials used.
Please note that certain ring designs cannot be resized due to their construction, setting, or overall design. The client will be informed at the time of ordering if the selected design cannot be resized.
11. Final Payment
The remaining balance is payable before collection or shipment. Ownership remains with LILI KOOS until payment has been received in full.
12. Collection & Delivery
Completed jewellery may be collected or shipped fully insured. Risk transfers upon successful delivery.
13. Returns and Cancellations
If the client cancels the commission after payment of the deposit but before production has commenced, the applicable design and consultation fees will be deducted from the deposit. The remaining balance of the deposit will then be refunded to the client.
The consultation fee is €50 per hour. The design fee typically ranges from €200–€400, depending on the complexity and scope of the design.
Once the design has been approved by the client and production has commenced, bespoke jewellery cannot be cancelled, returned, or exchanged, as it has been specifically made to the client’s requirements.
This does not affect the client’s statutory rights in relation to manufacturing defects or other rights that cannot legally be excluded.
14. Hallmark, Certification and Packaging
Each piece of jewellery is hallmarked to verify the metal type and purity, in accordance with applicable hallmarking requirements.
All jewellery pieces are accompanied by our certificate of authenticity and presented in our signature luxury packaging.
Certain gemstones may also be accompanied by an independent international gemstone certificate, providing additional information regarding their identity, characteristics, and quality. Where an international gemstone certificate is included, this will be clearly indicated in the initial quotation.
Any gemstone certification specified in the quotation will be provided together with the finished jewellery, where applicable.
